Planning Timeline

A typical planning engagement follows this timeline from initial inquiry to departure day. Timelines may vary for complex or last-minute trips.

Week 1: Discovery Conversation

Your consultant schedules a phone or video call to discuss your travel goals, interests, pace, budget range, and any constraints. This is a collaborative conversation, not a questionnaire. We ask open-ended questions to understand what kind of experience will make this trip meaningful for you. After the call, you receive a written summary for your review.

Weeks 2 to 3: Research and Proposal

Our team researches routes, accommodations, activities, dining, and transportation options tailored to your preferences. Within two to three weeks, you receive a detailed proposal document with a day-by-day itinerary, accommodation options at two to three budget tiers, estimated costs, and an explanation of why each element was chosen. You can review and request changes at no extra charge.

Weeks 3 to 5: Refinement and Booking

Based on your feedback, we revise the itinerary, swap accommodations or activities, adjust pacing, and finalize all selections. Once you approve the plan, we handle all reservations, confirm availability, and issue booking confirmations. Any deposits or payments are clearly communicated before they are processed. If you are traveling with a group, this phase also includes individual participant coordination through our group travel services.

Pre-Departure: Briefing Package

Two weeks before you depart, you receive a comprehensive travel package. This includes your finalized itinerary with all confirmation numbers, a destination guide with cultural tips and language basics, a packing checklist, health and safety information, local emergency contacts, and a digital copy optimized for mobile access. Your consultant remains available for last-minute questions right up until departure day.
